The dashboard lists every document you've ever drafted in LeasePilot. It's where you find a deal, move it through its lifecycle, and start new ones. ## What you can do from this screen - **Filter and sort** — narrow the list by Tenant, Asset, Type, Owner, Created Date, or Status using the left rail. Click any column header to sort. The list paginates as it grows. - **Change status** — click the status on a row to move it from **Initial Draft** to **In Negotiation** to **Final Draft**. It's a label for the team, not a gate. - **Reassign owner** — click the owner on a row to hand the document to someone else. Signing in starts with your email and adapts from there. You don't need to remember whether your firm uses SSO, a password, or both — LeasePilot picks the path your account is set up for and walks you through it. ## What the flow looks like 1. **Email.** Enter the address you sign in with and click **Next**. 2. **SSO or password.** If SSO is set up for your firm, the next step is a *Single sign-on enabled* card; click **Continue with SSO** and you're sent to your identity provider (Okta, Azure AD, whichever your firm uses) to authenticate. If SSO isn't on, you're asked for a password instead — the eye icon shows or hides it, and **Forgot password?** kicks off a reset. 3. **2FA, if it's on.** When two-factor authentication is enabled on your account, the final step is entering the one-time code from your authenticator app. Without the code, sign-in doesn't complete. The back arrow next to the email at step two returns you to step one — useful when you typo'd the address. > **You don't choose your sign-in method; your account does.** The email you enter tells LeasePilot whether SSO is configured for your firm. The API tab only appears in the admin area if your platform has the integration component turned on. If you have it, every system that talks to LeasePilot's API — your CRM, your reporting stack, anything custom your team builds — authenticates with the token managed here. ## What you can do from this screen - **Show the token** — by default it's masked. Click **Show** to reveal the full string when you need to paste it into another system. - **Copy** — copies the active token to your clipboard so you don't have to retype a long string. - **Generate New Token** — rotates the credential. Use this when the old token is exposed, when an engineer with access leaves, or as part of a regular rotation policy. The list is chronological and paginates as it grows. - **Filter by column** (funnel icon) — narrow the list by time range, user, or event type. Combine filters to zoom in on a specific slice — *every building assignment change in the last week*, for example. - **Expand a row** (chevron) — when an event has more detail than fits inline, the chevron opens it. A *Building unassigned from partner* row, for example, expands to list every property that came off that partner's assignment. - **Switch time zones** (top right) — view timestamps in your team's time zone instead of the system default. If you spot something you didn't expect, those are the screens where it happened — the trail tells you who and when. ### Forms URL: https://leasepilot.co/resources/help/demos/forms Category: admin Your form templates and conformed deals — every starting point for a new draft, on one screen. Every new document in LeasePilot starts from something: either a firm-wide form template (your encoded Lease, Amendment, or LOI) or a conformed deal saved from a prior negotiation. Forms is the admin screen that holds both, on one page, so an admin sees exactly what a drafter sees when they go to start a new draft. ## Form templates The top section lists the templates encoded for your firm. Each row shows the *flavor* configured during onboarding (Retail Lease, Retail Amendment, Retail LOI, or whatever fits your portfolio) plus two version numbers: - **Document Version** — the encoded form: clauses, conditional logic, fallback language. - **Building Version** — the building-specific layer that overlays the form when a drafter picks a property. Both numbers tick up over time as forms and building layers get revised. Two paths handle changes: - **Form Manager edits.** Users with the **Form Manager** role can edit a form directly through the row's edit action. The scope is deliberately narrow: static prose that isn't tied to any conditional logic — recitals, fixed notice paragraphs, boilerplate that reads the same on every deal. If the language doesn't branch on a deal term, a Form Manager can rewrite it without involving anyone else. - **Everything else goes through your implementation team.** Conditional clauses (anything that swaps based on a deal term), fallback language, calculation logic, and the form's overall structure stay with the team that built your platform. The reason is the same as for [per-building defaults](/resources/help/demos/per-building-defaults): getting one wrong silently breaks downstream documents — a wrong condition can corrupt a hundred future leases before anyone notices. ## Conformed deals The lower section lists every conformed deal saved across the platform. A conformed deal is a frozen snapshot of a negotiated document — every clause change and every deal term — that you can re-use to start a new lease for the same tenant at a different building. The **+ New Conformed Deal** button starts one from any document; the row actions let you rename or delete an existing one. For what conformed deals are and how to use them on a new draft, see [conformed deals](/resources/help/demos/conformed-deals). > **Why both sit on the same screen.** These are the two starting points a drafter sees in the **Create New Document** dialog. Putting them next to each other in admin means you manage both with the same instinct: firm-wide options on top, deal-specific snapshots below. --- The buildings these forms target live in [building management](/resources/help/demos/building-management); the per-property values that overlay each form are documented in [per-building defaults](/resources/help/demos/per-building-defaults). Form Manager is a user role you assign in [user management](/resources/help/demos/user-management). ### IP address restrictions URL: https://leasepilot.co/resources/help/demos/security Category: admin Limit who can reach LeasePilot to specific IP addresses or ranges. If your firm requires that LeasePilot only be reached from the office, a VPN, or another known network, this is where you set the boundary. List the IP addresses and ranges that are allowed; sign-ins from anywhere else are blocked at the door. ## What you can do from this screen - **Add allowed IPs** — paste them into the box, one per line. Three formats work: a single IP (`192.168.1.1`), a range (`192.168.1.1 - 192.168.1.255`), or CIDR (`192.168.1.0/24`). Mix and match as needed. - **See your current IP** — shown right under the box and in the _About IP Filtering_ panel, so you can confirm what your team is connecting from before you write the rules. - **Save Changes** — applies the new restrictions. > **Your current IP is always allowed, automatically.** Whatever you put in the list, the IP you're connected from gets added to it on save — so a mistyped range can't lock the admin team out of the platform. That's the point of the _About IP Filtering_ panel calling out your current IP every time you open this screen. --- IP filtering is one layer of access control. Pair it with [SSO](/resources/help/demos/sso-setup) for a stricter sign-in; individual users can also turn on 2FA from [their own account](/resources/help/demos/settings-area). Every change you make here is captured in the [audit trail](/resources/help/demos/audit-trail). ### Manage buildings URL: https://leasepilot.co/resources/help/demos/building-management Category: admin Edit building details, update landlord info, and know when to loop in your implementation team. The Buildings area lists every property you draft leases for. Your list is encoded during setup; this is where you keep each building's details current. New buildings come in through your implementation team so the right state rules and signature block come with it. ## What you can do from this screen - **Edit a building** (pencil) — update the names, landlord details (name, entity type, state of formation), address, and building area size. Everything you change flows into new documents drafted for that building. - **Delete a building** (trash) — hide a property you no longer manage. The record stays intact, so existing leases drafted against the building remain openable and unchanged. The building just stops appearing when you start new deals. ## Two names, one building Each building has two names, and they do different jobs: - **Name** — appears in the lease documents you generate. Usually the legal property name. - **Dashboard Name** — appears in the LeasePilot dashboard so your team can find it. Often the same, but you can shorten it or use an internal alias. > **State and signature blocks are locked.** The State field and structural building settings (signature block, notice provisions, state-specific rules) were encoded when your platform was built. For any of those, click the **Click here** link at the bottom of the dialog — your implementation team picks it up and makes the change. --- Default deal terms that vary per building — like base rent or fallback language — live in [per-building defaults](/resources/help/demos/per-building-defaults). ### Manage partners URL: https://leasepilot.co/resources/help/demos/partners-management Category: admin Scope outside counsel, brokers, and other partners to the buildings they work on. Partners are people outside your firm — outside counsel, brokers, anyone who drafts against a building but shouldn't see your whole portfolio. This screen sets the boundary: which buildings each partner can open, search, and draft against. A partner with no assignments sees nothing. ## What you can do from this screen - **Read the partner list** — every partner with a count of the buildings they're scoped to. At a glance you see who has broad access and who's been onboarded but not yet scoped to anything (0 buildings). - **Edit assignments** (pencil) — open the assignment dialog and pick buildings one at a time, search by name, or use **Select all buildings** when a partner truly needs the full portfolio. **Save Changes** applies the new scope. - **Show only assigned** — a toggle inside the assignment dialog. Useful for quickly confirming what a partner currently sees, without scrolling past every unassigned building. > **0 buildings means 0 access.** Until a partner is scoped to at least one building, they can't open or draft anything in LeasePilot. The default is closed, not open — onboarding a partner and granting them access are two separate steps, on purpose. --- Partner accounts themselves are set up during onboarding. Use this screen to keep their access current — add buildings as engagements grow, remove them when an engagement ends. ### Manage users URL: https://leasepilot.co/resources/help/demos/user-management Category: admin Add users, assign roles, set permissions, and deactivate accounts. The Users area is where you add people to the platform, change their roles, and take action when someone leaves. The roles in the dropdown (for example, _User_, _IT Admin_, or _Form Manager_) are configured to match your team during setup. The role determines what each user can do — a _Form Manager_, for example, can revise static prose on encoded [forms](/resources/help/demos/forms); an _IT Admin_ can manage other users and security settings. ## What you can do from this screen - **Add a new user** — capture their name, email, role, and an initial password. - **Reset a password** — set a new password directly. We don't email a reset link; you pick or generate the new password and share it with the user through a secure channel. - **Edit user details** — update name, email, or role. - **Disable access** — suspend a user without removing them. - **Delete a user** — permanently remove the account. > **Disable vs. delete.** Disabling is reversible and keeps the user's record and audit trail intact. Deleting is a hard delete — the record is removed entirely, which is why disabling exists. When someone is on leave, between roles, or you're unsure, disable. --- If your team uses single sign-on, user provisioning may flow through your identity provider instead of this screen. See [SSO setup](/resources/help/demos/sso-setup) for details. ### Multiple dashboards URL: https://leasepilot.co/resources/help/demos/multiple-dashboards Category: admin Separate dashboards per division, department, or property type. Users with cross-team access switch with a click. A leasing operation rarely runs as one team. A national retail landlord might keep ground leases, in-line space, and pad-site leasing on separate desks. A mixed-use owner might split residential, retail, and event venues into distinct divisions, each with its own attorneys, paralegals, and drafting conventions. Multiple dashboards let each team see only the documents that belong to it, without the rest of the portfolio crowding the view. ## How it's organized A dashboard, in LeasePilot, is a self-contained working surface: a list of documents, a set of buildings, a configuration of forms, a deal-terms schema, a set of defaults. Setting up multiple dashboards segments your operation into discrete worlds, one per division, department, or document type. Each user belongs to at least one dashboard; what they can see and what they can draft depends on which dashboards their role allows. The dropdown in the top-right of the navigation bar, next to your email, lists the dashboards available to you. Click one, and the document list, the buildings, the forms, and the conventions all switch to that division's setup. No reload, no second login; the platform reframes around the world you just stepped into. ## Who can switch Switching is per-user. Most drafters belong to a single dashboard, see only that dashboard, and never need the dropdown. Users who genuinely span multiple divisions (a head of leasing, a senior paralegal who covers two teams, a managing attorney) get access to the dashboards that map to their actual responsibilities. Dashboard access is provisioned by your implementation team, not by an admin in [user management](/resources/help/demos/user-management). When someone's responsibilities change and they need access to another dashboard (or should lose access to one they no longer cover), tell your implementation team and they make the change. The list in the dropdown updates the next time the user signs in. > **Each dashboard is a real boundary, not a filter.** A document drafted in the *Retail* dashboard isn't visible in the *Ground Leases* dashboard, even when both belong to the same firm. The buildings list, the deal-terms schema, the forms, even the way deals are named can differ between dashboards, because the work itself differs. This is structural, not cosmetic. ## When to add another dashboard Whenever a part of your operation has its own forms, its own conventions, its own set of buildings, or its own people. The signals are usually concrete: a team that says *our leases are different* and means it; a sub-portfolio with its own state rules; an acquisition that came with its own template stack. Tell your implementation team what you need separated, and they set the new dashboard up alongside the existing ones, with the right people scoped to each. --- For the day-to-day inside a single dashboard, see [navigate the dashboard](/resources/help/demos/navigation). Both can differ between dashboards. ### Per-building defaults URL: https://leasepilot.co/resources/help/demos/per-building-defaults Category: admin Different deal terms default per building, so new drafts start with the right values automatically. Not every building in a portfolio behaves the same. A lifestyle center might give tenants a tighter radius restriction than a power center across town. A trophy asset might escalate differently than a value-add. Per-building defaults make those differences automatic: when your team starts a new draft for a given building, the right starting values are already there. ## How it works This isn't a screen you configure yourself. The defaults that vary by building, or by group of buildings, are encoded by your implementation team during onboarding and updated as your standards evolve. When a drafter picks a building from the dashboard, the platform applies that building's specific defaults to the new document — base rent rules, restriction radii, escalation conventions, fallback language, whatever your portfolio needs to differ. You won't see knobs. You'll see correct documents. ## When something needs to change If a default is wrong, or your standards for a property have shifted, tell your implementation team. The building (or the group) and the new value is enough. The next draft against that building reflects the change. It's a normal request, not a support ticket. > **Why it's not self-service.** Per-building defaults sit underneath conditional logic that's tuned to each property. Getting one wrong silently breaks downstream documents — a wrong escalation compounds for a decade, a wrong radius gets locked into a dozen leases — so we encode them once, with you, and keep them consistent. --- The buildings themselves live in [building management](/resources/help/demos/building-management). The values these defaults pre-fill are the same fields you see on the [deal terms](/resources/help/demos/deal-terms) screen when you draft a new document. ### SSO setup URL: https://leasepilot.co/resources/help/demos/sso-setup Category: admin Sign in through your identity provider (Okta, Azure AD, others). Most of the work in setting up SSO happens in your identity provider, where your IT team already configures dozens of other apps. LeasePilot's part is short: a single form your IT admin fills out, the same shape regardless of which IdP you run. From start to working sign-in is usually one working session, not a multi-week rollout. ## How it works 1. **We send a setup link** to your IT admin during onboarding, or whenever your firm decides to switch SSO on. The link opens a form preconfigured for your account. 2. **Your IT admin fills the form** with connection details from your identity provider — metadata URL, certificate, claim mappings, the usual. The form looks the same whether you run Okta, Azure AD, Google Workspace, OneLogin, or something else. 3. **They finish in the IdP.** Your IT team assigns users or groups to the LeasePilot application and tests sign-in once. Anyone in the assigned group sees the SSO path the next time they sign in. The reason that form is consistent across providers is that LeasePilot uses WorkOS as its SSO layer. If your IT admin has already wired up another tool through WorkOS, the LeasePilot form will look familiar: same fields, same flow. ## When something needs to change If your IdP changes, your group assignments shift, or you migrate from one provider to another (Okta to Azure AD, for example), tell your implementation team. We re-send the setup link, your IT admin updates the form, and the new provider takes over without users having to relearn anything. > **When SSO is on, LeasePilot passwords stop mattering for those users.** Anyone signing in through your IdP authenticates there every time, so password resets, rotation policies, and shared-password worries belong to your provider rather than to LeasePilot. That's the point. --- Once SSO is live, the [sign-in flow](/resources/help/demos/sign-in-flow) detects it from the email a user enters and routes them to your IdP automatically. A signed lease isn't the end of the document chain — it's the start of one. Over the life of a tenancy, a single deal generates a string of related documents: an SNDA when the lender shows up, a commencement letter when the tenant takes possession, an estoppel when the building changes hands, a sublease when space gets shared, an assignment when the tenant gets acquired, more amendments than anyone wants to count. Each of those has its own structure, its own counterparties, its own negotiation patterns. Pre-LeasePilot, each one got drafted in Word from someone's most recent precedent, carrying the same risk of stale clauses, inconsistent terms, and version drift that the lease itself used to carry. In LeasePilot, ancillary documents aren't second-class. They're modeled the same way the lease is. ## What counts as ancillary Anything that isn't the lease itself but lives in the deal's lifecycle: - **Commencement letters** confirming the term start, delivery date, and rent commencement. - **SNDAs** subordinating the lease to the lender's mortgage. - **Estoppels** confirming the lease terms to a buyer, lender, or insurer. - **Subleases**, **assignments**, and **consents** to either. - **Amendments** of every shape, from a one-line rent reset to a full restatement. - **Memorandums of lease**, **terminations**, **side letters**, and anything else CRE-adjacent your firm regularly produces. The list above is illustrative. The real list is whatever your team has on its precedent shelf. ## Same automation, different document Each ancillary document is built from a form, the same way the lease is. That means each ancillary document gets: - **Conditional logic** that opens and closes provisions based on the deal terms. - **A structured deal-terms panel** specific to the document type. An SNDA's terms aren't the same as an estoppel's, and the panels reflect that. - **Auto-numbering and cross-references** that stay consistent as you edit. - **Autopilot** for drafting, revising, querying, and risk-checking the document. - **Compare and Import Changes** for negotiation rounds. - **The same export, conformed-deal, and abstraction flows** that the lease has. The intelligence layer doesn't care whether the document in front of you is a 200-page lease or a two-page commencement letter. The form decides what's there; the platform applies the same rigor to either. > **Any CRE document type can be onboarded.** If your firm produces it, the implementation team can model it. New ancillary forms get built the same way the lease form was: working from your precedent, your structure, your language. --- When you spin up an ancillary document off a deal that already exists in LeasePilot, the related deal terms come along automatically. The fallback language your team has refined over years of deals — preferred carve-outs, alternate definitions, the version of an indemnity that's been winning negotiations for a decade — usually lives in a folder a senior associate has been maintaining by hand. When a deal needs it, someone has to find the right file, copy the right version, and paste it into the right spot. Clausebook puts that library inside the document panel, so insertion is one click instead of a hunt. ## What's in your clausebook Your encoded form covers the language that belongs in *every* draft. Clausebook covers the language that belongs in *some* drafts: fallback positions, alternate carve-outs, optional riders, the version of a clause you reach for when a counterparty pushes back. It's where you keep the multiple versions of the same provision that real negotiations require — a tighter assignment clause, a looser one, and the one you actually expect to land on. Clauses live in folders so the structure can mirror the way your team thinks about provisions. If your team maintains more than one clausebook (often one per form, though you can structure it however helps), the dropdown at the top of the panel switches between them. ## Inserting a clause Two ways to find what you're looking for: 1. **Browse the tree.** Expand a folder, find the clause, click it. The selected clause expands inline with a *Description* note and the full *Clause Preview* below it. 2. **Fuzzy search.** Type into the **Search Clauses or Folders** box. Matches happen across folder names and clause text, so you can find a clause by what's in it, not just what it's called. Once the right clause is in front of you, place the caret in the document where you want the language to land, click **Insert**, and it's there. The clause carries the formatting it was saved with. > **Star the clauses you reach for repeatedly.** The star next to each clause and folder marks favorites — small on a quiet day, useful on a busy one when you're inserting the same fallback ten times. ## Maintaining your clausebook Clausebook is self-onboarding. Your team adds clauses, renames them, restructures folders, and retires what's no longer used, all without help from us. Most teams populate their clausebook themselves; if you'd rather we help (pull in a folder structure from a network drive, dedupe versions, suggest a hierarchy), your implementation team will do that with you. After that, the library is yours to keep current. > **Encoded form vs. clausebook.** Language that belongs in *every* draft of a given form is encoded into the form itself; updates to that language are made by a [Form Manager](/resources/help/demos/forms) for static prose, or by your implementation team for anything tied to conditional logic. When a national tenant negotiates a set of clauses you've fought over for months — assignment language, exclusivities, indemnity carve-outs, the works — the next time they sign with you, those terms travel with them. Without a way to capture that, your team starts every new lease from the form and stitches the negotiated language back in by hand. A conformed deal captures the negotiated document as a template so the next draft starts from it instead. ## What gets saved A conformed deal is a snapshot of one document at one point in time. Two things carry over: - **Every change to the document body** — clauses you added, removed, or rewrote during negotiation. - **Every deal term** — rent schedule, escalations, option windows, restrictions, all the structured values you set on the original draft. What *doesn't* carry: the building. This is the part that makes a conformed deal useful. The original document was drafted against a specific property, but the conformed deal is detached from that building when you save it. The next time the same tenant signs with you, you can start a new lease against the conformed deal at *any* building in your portfolio. ## Saving one Two paths into the same place: 1. **From a document.** Open the lease, click the ⋯ menu in the toolbar, and pick **Save as Conformed Deal**. Useful in the moment, when you've just finished a deal and want to lock the language in before anyone else edits the file. 2. **From the admin area.** Open **Forms** in the admin area; the **Conformed Deals** section there lists every saved deal, lets you rename or delete them, and the **+ New Conformed Deal** button starts one from any document in the system. ## Drafting from a conformed deal When your team starts a new document, the conformed deal appears alongside your form templates as a starting point. Pick it instead of the form, choose the new building and tenant, and the draft begins with the negotiated terms — not the firm's default form. The new draft is editable like any other lease; the conformed deal stays intact. > **Snapshot, not link.** A conformed deal is a frozen copy of the document at the moment you saved it. Later edits to the original lease don't flow into the conformed deal, and vice versa. If a negotiation keeps moving after you save, save a new conformed deal at the new state — they're cheap to create. --- The conformed deals themselves are managed alongside form templates on the [Forms](/resources/help/demos/forms) admin screen. Legal drafting is full of references — *as defined in Article 3*, *subject to the provisions of Section 8.2(b)*, *in accordance with Exhibit C*. Each one is a small landmine. Renumber a section, insert a new article, swap two list items, and every reference that pointed at the old number is now wrong. Catching them all in proofread is the kind of work that makes lease drafting tedious and error-prone. In LeasePilot, the references catch themselves. ## How it works Every part of the document that can be referenced — articles, sections, subsections, exhibits — has a bookmark behind it. Cross-references are the links that point at those bookmarks. When something changes — a new section is added, a list is reordered, a clause bumps everything down a number — every cross-reference that pointed at the affected target updates automatically. *Article 3* becomes *Article 4* wherever it appears in the document, no proofread required. ## What you'll see Cross-references show up in the document with a light-blue highlight. They read like normal text, but they're locked: you can't edit one by typing over it. The number it shows isn't stored as text, it's resolved from whatever its bookmark currently points at. Bookmarks themselves are normally invisible. You can toggle them on from the toolbar to see where they sit, each one labeled with a short name describing what it marks. The article *Common Areas and Parking*, for example, might be bookmarked as `common-areas-parking-article`. > **Cross-references aren't user-created.** Bookmarks and the references that point at them are set up during onboarding, as part of how your form is built. Once they're in place, they maintain themselves for the life of every lease drafted from that form. New bookmarks get added when your form structure changes through the implementation team. --- The same structural intelligence that keeps cross-references current keeps the document's numbering current. Most lease drafting still happens by typing into a Word document: change the tenant name in twelve places, hope you didn't miss one, copy-paste a clause and pray its cross-references still resolve. Deal Terms is the structured side of that. You fill named fields on the right; the document on the left re-writes itself, with every value landing in every place it should. ## What's on the screen Open any document in LeasePilot. The right panel shows three tabs across the top: - **Deal Terms** (default) — the form view of the lease. This page. - **Clausebook** — the firm's library of negotiated language, ready to drop in. See [clausebook](/resources/help/demos/clausebook). - **Autopilot** — automated drafting from imported context. See [Autopilot](/resources/help/demos/autopilot-intro). Deal Terms is organized into collapsible cards. The cards and fields inside them are built around the way _your_ firm thinks about a deal — same vocabulary, same groupings, same order. A drafter shouldn't have to translate between an internal mental model and what the platform asks for. A retail-focused team's cards (_Tenant_, _Premise_, _Term_, _Rent_, _Options_, _Restrictions_, and so on) look nothing like an industrial team's or a ground-lease team's, because the underlying deal structure is different. The platform isn't a fixed form trying to fit every portfolio; it's your forms, organized. ## How the fields work Each control inside a card is wired to a piece of the document. Change a value, the document updates immediately. The control type matches what the field actually is — these are the kinds of inputs the platform supports, mapped to whatever your forms need: - **Text** for names, descriptions, free-form prose. - **Number** for square footage, dollars, percentages. - **Date** for effective dates, option windows, expirations. - **Checkbox** for binary toggles (_Tenant has a guarantor: yes/no_) that often unlock or hide entire sections. - **Radio** for one-of-a-set choices (_Lease Type: Triple Net / Modified Gross / Full Service_). - **Dropdown** for closed lists you've curated (_Entity Type_, _State of Formation_). Behind every field is the conditional logic your firm's drafting decisions actually depend on, encoded during onboarding. A _yes_ on a checkbox can pull in three new sections elsewhere in the document. A change to a single date can recalculate every downstream date that depends on it. The legal judgment behind those rules is yours; the platform just executes it, on every keystroke, the same way every time. ## Finding your way around The panel grows as your portfolio's complexity grows. A few shortcuts make it manageable: - **Find in deal terms** — the search box at the top of the panel jumps to a field by name. Useful when you know a term exists but not which card holds it. - **Occurrences in the document** — when a deal term lands in multiple places, the document panel shows _Occurrences 1 of N_ at the top with **Previous** / **Next** controls. Step through to verify every place a value applied. - **Import Deal Terms** — at the very top of the panel. Pulls structured terms from an LOI or term sheet so you don't type them in by hand. See [import deal terms](/resources/help/demos/import-deal-terms). > **Don't edit the document directly when a deal term will do.** The document is a real editor and you can type into it; that's covered in [text editing](/resources/help/demos/text-editing). But if a value is governed by a deal term, hand-edits to that value will be overwritten the next time the encoded logic re-evaluates that section. Sometimes you don't need the whole lease — just an exhibit. The **⋯ (more)** menu in the top-right of the editor lists each subdocument configured for your form as its own download, so you can hand off a single piece without sending the full document. ## When to pull one out - Share **Rules and Regulations** with a tenant ahead of move-in without resending the lease. - Send the **Legal Description** to a lender, title company, or insurance provider. - Pass the **Construction Exhibit** or **Site Plan** to a contractor, architect, or facilities team. - Forward the **Exclusive and Prohibited Uses** to a leasing broker vetting a neighboring deal. ## What shows up in the menu The subdocuments in your menu match the structure of your lease form. Common ones include Legal Description, Site Plan, Construction Exhibit, Tenant Sign Criteria, ADA and Environmental Law Notice, Rules and Regulations, and Exclusive and Prohibited Uses — but the exact set depends on what's in your form. When exhibits are added or restructured via your implementation team, the menu updates to match. ## What you get Each subdocument downloads as its own Word (`.docx`) file, named using the same filing pattern as the main document — so exhibits land in the same place as the lease they belong to. --- Downloading the whole lease instead? It opens your browser's print dialog, where you can send the draft to a printer or save it as a PDF. ## Save as PDF In the print dialog, change the destination to **Save as PDF** (Chrome), **Microsoft Print to PDF** (Edge), or the equivalent on your browser. The PDF reflects exactly what's on screen — the same formatting, page breaks, and layout you see in the editor. ## When to use PDF over Word - You're attaching the draft to an email or shared folder and don't need the recipient to edit it. - You're sending a final, signature-ready copy to a party who won't be redlining. - You need a PDF for filing or records purposes. Every draft can be downloaded as a Word document straight from the editor — whatever you see on screen is what you get in the file, formatting and all. Most of drafting a lease is still writing prose — adjusting a definition, tightening a representation, expanding a covenant. The editor's job is to handle that part the way any document editor should: comfortably, predictably, without getting in your way. ## What the editor handles The basics behave the way you'd expect. Place the cursor and type. Select with the mouse or keyboard. Navigate, split, merge, paste. The toolbar covers the rest of what you reach for in normal drafting — formatting, type, color, layout, lists, and a few document-level controls. A handful of specialty Word features aren't in the toolbar, but nothing you need on a daily basis is missing. ## What stays in the background What's different is what you don't have to think about. The lease's numbering stays consistent on its own. Reorder a section and the surrounding numbers update. Start a new section and it slots into the document's outline at the right level. For the **Original** side, choose one of three: - **Blank Form** — compare against the unmodified template. Shows every change made since the draft started, including every clause selection. Useful when senior counsel wants to review the full departure from your standard form. - **Previous Version** — compare against the previous version of this deal. This is the standard "what changed since v1?" redline you'd send when turning a draft. - **Local File** — upload a Word document from your computer. Use this when the other side sends back their markup and you want a redline between your current state and theirs. ## What you get A Word (`.docx`) redline using Word's tracked-changes format, showing insertions, deletions, and moved text. When the tenant sends back a marked-up Word document, you don't have to retype their edits or flip between files. Import their markup into the current draft and decide what stays and what goes — line by line, inside LeasePilot. ## Bring their markup in Open the **⋯ (more)** menu and choose **Import Changes**. The dialog shows: - **Original Document** — the current version of the deal you're on. Fixed. - **Revised Document** — upload the tenant's marked-up Word file using **Browse**. Click **Import**. Their changes show up in the editor as **pending requests** — insertions highlighted in green, deletions in pink — each one sitting where it belongs in the document. ## Review each change Every pending request has three actions: - **Accept All** — take the tenant's change into the draft. - **Reject All** — discard the change and keep your language. - **Preview Entire Request** — expand the full before/after so you can see the change in context before deciding. Work through the pending requests one by one. Accepted changes merge into the draft; rejected ones disappear. Anything left pending stays visible until you make a call. ## When you're done Once every request is handled, the draft is back to a clean state with the accepted edits baked in. A lease abstract is the structured summary your team produces after a deal closes: tenant, premise area, term, rent schedule, options, restrictions, all the material terms pulled into a document a lender or asset manager can read in two minutes instead of two hours. Most firms still produce these by hand. LeasePilot generates one from the lease in a single click. ## How it works Open any document, click the ⋯ menu in the toolbar, and pick **Abstract**. A dialog opens with two paths: 1. **Version in LeasePilot** — abstract the version of the document you currently have open. 2. **Version from your computer** — upload a `.docx` or `.pdf` and abstract that instead. Use this when the executed lease lives outside LeasePilot, for example when the final rounds happened in Word over email and the signed copy never came back into the platform. Click **Download** and a Word document with the structured terms downloads to your machine. ## Why upload support matters In real workflows, the version in LeasePilot isn't always the version that got signed. Late negotiations sometimes happen in Word over email; counterparties sometimes counter from their own templates; the executed copy comes back signed but redlined. Whatever happened, you still want a clean abstract of what was actually agreed. Uploading the final `.docx` or `.pdf` lets you abstract the executed document without re-importing or recreating it inside LeasePilot. > **The output is a Word doc, not a screen.** Abstracts get emailed to lenders, attached to closing binders, and pasted into asset files. For portfolio-wide views of the data across many leases at once, see [reports](/resources/help/demos/reports). ### Import deal terms URL: https://leasepilot.co/resources/help/demos/import-deal-terms Category: extract Upload an LOI or term sheet; LeasePilot reads it, applies the terms it finds, and asks you to confirm each one. An LOI's contents are mostly the same deal terms you'd type into the panel by hand: tenant name, premise area, term length, rent schedule, options, restrictions. Re-typing them is busywork. Import Deal Terms uploads the LOI (or term sheet, or a screenshot, or even a photo of a marked-up page), reads what's there, applies what matches, and asks you to confirm each change. ## How it works Three steps from upload to draft: 1. **Select files.** Word documents (`.docx`), PDFs, and images are all supported. Upload one file or several at once — useful when an LOI's terms are spread across an attached schedule, a side letter, and the body itself. 2. **LeasePilot reads them.** The platform parses each file and looks for deal terms it can map onto the structured fields in your panel. Anything it finds, it applies automatically — so by the time the upload finishes, the deal-terms panel is already populated. 3. **Review and decide.** Every extracted value shows up as a proposed change in the panel. Accept what's right, reject what's wrong (rejection reverts to the previous value), and adjust anything in between. Nothing is final until you say so. ## What gets extracted The platform looks for the deal terms your panel actually has. If your panel includes a *Tenant Trade Name* field, the parser tries to find a tenant name. If it includes *Base Rent — Year 1*, it looks for a year-one rent. Because the schema is built around *your* forms, the extractor isn't trying to parse a generic lease; it's trying to fill *your* deal-terms panel. The closer the match, the higher the confidence — terms that don't appear in the upload are simply left as they were. > **You're the deciding party.** Every extracted value is a suggestion until you accept it. The review step exists because AI is excellent at parsing prose into structured fields, and imperfect at the judgment calls a drafter makes daily. For deal data that arrives from a property-management or CRM system instead of a document, see [connected systems](/resources/help/demos/connected-systems). ### Reports URL: https://leasepilot.co/resources/help/demos/reports Category: extract Build, filter, save, and export structured views of your portfolio data. When someone asks *how many leases did we sign last quarter?* or *what's our average draft time across the retail portfolio?* the answer is sitting in LeasePilot. Until Reports, getting to it usually meant an export to Excel and a round of pivot tables. Now you configure what you want, hit generate, and the answer comes back as a table you can sort, save, or download. ## How a report comes together A short wizard walks you through six tabs. The only required choice is the second one — every other tab is optional, and skipping it widens the report rather than narrowing it. No selection on **Buildings**, for example, means *all buildings*. 1. **Document types.** Pick Lease, Amendment, LOI, or check **Specific forms** to target a named form. Leave everything unchecked for a portfolio-wide view across every document type. 2. **Data.** Either keep the standard columns (Tenant, Asset, Document, Created Date, Modified Date, Created By, Draft Time in LeasePilot) or switch to **Add additional columns** and pick from the full list. The full list is long — hundreds of fields across rent, premise, term, options, restrictions — with search and category groupings so you don't have to scroll the whole thing. 3. **Time.** No date filter, year to date, or a custom range. Quick presets cover whole years, quarters, and months. Clicking a selected preset a second time clears it. 4. **Users.** Filter the report to specific drafters or to whole groups (your firm, an outside counsel, a paralegal team). Useful for activity reviews and for isolating a single team's output. 5. **Buildings.** Filter to one building, a sub-portfolio, or a region. Same logic as users — leave it empty for everything. 6. **Conditions.** Field-level rules: *Base Rent > 20*, *Premise Area > 10,000*, *Lease Term ≥ 10 years*. Stack as many as you want; every condition must match for a row to appear, so conditions narrow rather than widen. Hit **Generate Report** at any tab and the results open in a new view. ## On the results screen - **Report parameters** panel on the left summarizes the filters you applied. Use it to sanity-check the slice before you trust the numbers, and to tweak a single filter without rebuilding the whole report. - **Sort any column** by clicking its header. The sort applies to what you see *and* to the file you export. - **Download CSV** or **Download Excel** exports the current result set in the format your downstream tool prefers. - **Save Report** names the configuration and pins it for later. Saved reports are live queries, not frozen snapshots — open one tomorrow and it recomputes against the latest data. > **Conditions are AND, not OR.** Every condition you add must match for a row to come back. If you expected results and got none, loosen one condition before widening the date range; that's usually the cause. --- The columns Reports pulls from are the same fields you set on [deal terms](/resources/help/demos/deal-terms) when drafting, against the [buildings](/resources/help/demos/building-management) in your portfolio. Administrative activity (user changes, partner assignments) lives in the [audit trail](/resources/help/demos/audit-trail) instead — Reports is for the documents themselves. ### Autopilot URL: https://leasepilot.co/resources/help/demos/autopilot-intro Category: automate A chat panel inside the document for drafting suggestions, revisions, risk callouts, and quick questions. Reading a 200-page lease to find a single risk takes hours. Drafting a one-off provision from scratch means hunting for precedent. Most leasing teams have been waiting for AI that actually understands the document in front of it. Autopilot is that surface: a chat panel inside the document where you can draft new language, revise existing language, surface risk in a clause, or ask questions about anything in the file. ## What you can do Four ways to start a conversation, all anchored to the document you have open: - **Draft.** Describe the provision you need and any terms or conditions to include. Autopilot returns suggested language you can copy into the draft. - **Revise.** Point at a provision and describe the change you want. Autopilot returns a revised version you can compare against the original and use as a starting point. - **Risk Analysis.** Point at a provision and describe the angle that worries you (assignment risk, indemnity exposure, rent-escalation downside). Autopilot reads the language with that lens and flags what it sees. - **Query.** Ask the document a question. _Where does the lease address mold?_ _What's the cap on operating expense increases in year four?_ _Does the assignment clause cover subleases?_ Useful when the lease is long, you didn't draft it, and you need an answer fast. Once you have what you need, the action stays with you: copy from the chat, paste where it belongs, edit to taste. > **Read-only by design.** Autopilot reads the document but doesn't write to it. AI is the right tool for drafting help, alternate language, and risk pattern-matching; it isn't the right tool for unattended edits to a binding legal document. The split is deliberate: AI suggests, you decide, and you're the one who clicks **Insert**. LeasePilot pushes structured lease data back out when document statuses change. Both directions, both on your terms. Deal data lives in your CRM. Lease structure lives in LeasePilot. Status updates need to land in your asset-management system, your deal pipeline, sometimes a custom internal tool your firm has built around how it operates. Most platforms solve the cross-system syncing problem by *reaching* — shared service accounts, polling APIs, picking through each other's data. LeasePilot doesn't reach. Both directions of the connection are push-based, configured during onboarding, and triggered by the system that already has the data. ## Inbound: your system pushes deal data into LeasePilot When deal data already exists in your property-management or CRM (tenant names, building IDs, square footage, dates, deal stages, whatever your stack tracks), your system sends a payload to LeasePilot at a moment you choose: on deal close, on every save, nightly, on demand. LeasePilot maps the values onto the structured fields in your deal-terms panel, and the matching deal is available to draft against, populated. The same pattern works whether the source is Yardi, MRI, Salesforce, Dynamics 365, an internal tool, or a custom system your team has built. ## Outbound: LeasePilot pushes lease data back out on status change In the other direction, LeasePilot watches the status of every document. When a document moves into a status you've configured as a trigger (typical examples: *Out for signature*, *Executed*, *Conformed*, *Approved by counsel* — the statuses themselves are yours to define), LeasePilot abstracts the document into structured data and ships that payload to an endpoint your team controls. The result: when a lease is executed, the abstract lands in your asset-management system. When a draft hits *Approved*, the deal pipeline updates. When a renewal is conformed, the data of record matches the signed copy automatically. No re-keying, no manual export-then-import, no overnight reconciliation job. ## Why push, not pull Same reasoning in both directions: - **No credentials shared with us.** A pull-based integration means handing over a service account and trusting another platform not to overstep. A push doesn't require that. Each system you operate emits what you've already chosen to emit. - **You decide what gets sent.** Sensitive fields stay where they are. Each push ships only the data the receiving side actually needs. - **You decide when it gets sent.** Inbound on your schedule, outbound on statuses you've defined. LeasePilot doesn't poll. - **Failures stay debuggable in the system you operate.** If a payload doesn't land where it should, the question *what happened on the way out* lives in your logs, on a system your team understands. ## Setup Both directions are configured once, during onboarding, by your team and ours working together. Inbound and outbound are set up separately: which fields flow in, which statuses trigger an outbound push, which endpoint receives the abstract, what shape the payload takes. The implementation team fits each side to whatever interface (webhook, file drop, scheduled job, API call) your stack already speaks. > **Both directions are explicit by design.** Inbound pushes only fire when your system sends them. Outbound pushes only fire on statuses you've defined as triggers. For the API token used by custom integrations, see [API token](/resources/help/demos/api-management). ### Copy deal terms to a new document URL: https://leasepilot.co/resources/help/demos/data-sync Category: automate Inherit the deal terms from an existing document when creating a related one, instead of re-typing them. When a tenant signs a lease, the same deal terms show up across half a dozen related documents: amendments, SNDAs, estoppels, commencement letters, subleases. Every one of those starts with the same underlying facts: tenant name, premise area, term, rent schedule. Re-typing those facts into each new draft is busywork, and it's the kind of busywork that quietly creates inconsistency. A typo in the rent number on the SNDA that doesn't match the master, and now two documents disagree about the same deal. LeasePilot copies the deal terms over for you. Start a new document from an existing one, and the structured terms come with it. ## How it works From the actions menu of any existing document, start a new draft. The **Create New Document** dialog asks for what changes between the two: **Document Type**, **Form**, **Templates Version**, **Asset**, **Tenant**. At the bottom is a checkbox: > ☑ Copy Deal Terms from _Tenant Name — Address (Version 1.0)_ Leave it checked and the new document is created with the deal-terms panel pre-populated from the source. Uncheck it if you want a clean slate. ## What gets copied, and what doesn't This is a _deal terms_ copy, not a document copy. Specifically: - **Copied:** the structured values in the deal-terms panel — tenant, dates, rent schedule, options, restrictions, and so on, exactly as they were filled in on the source. - **Not copied:** anything from the body of the source document. No text edits, no redlines, no comments, no version history, no conformed status. The new document uses its own form and template; only the terms travel. So when you create an SNDA off a master lease, the SNDA's body comes from the SNDA form, not from the lease. The deal-terms panel just arrives populated, ready for you to adjust the few fields that differ for that particular SNDA. > **Copy, not sync.** The deal terms are inherited at the moment the new document is created. Changes to the source after that point don't propagate.
