When someone asks how many leases did we sign last quarter? or what's our average draft time across the retail portfolio? the answer is sitting in LeasePilot. Until Reports, getting to it usually meant an export to Excel and a round of pivot tables. Now you configure what you want, hit generate, and the answer comes back as a table you can sort, save, or download.

01How a report comes together

A short wizard walks you through six tabs. The only required choice is the second one — every other tab is optional, and skipping it widens the report rather than narrowing it. No selection on Buildings, for example, means all buildings.

  1. i.Document types. Pick Lease, Amendment, LOI, or check Specific forms to target a named form. Leave everything unchecked for a portfolio-wide view across every document type.
  2. ii.Data. Either keep the standard columns (Tenant, Asset, Document, Created Date, Modified Date, Created By, Draft Time in LeasePilot) or switch to Add additional columns and pick from the full list. The full list is long — hundreds of fields across rent, premise, term, options, restrictions — with search and category groupings so you don't have to scroll the whole thing.
  3. iii.Time. No date filter, year to date, or a custom range. Quick presets cover whole years, quarters, and months. Clicking a selected preset a second time clears it.
  4. iv.Users. Filter the report to specific drafters or to whole groups (your firm, an outside counsel, a paralegal team). Useful for activity reviews and for isolating a single team's output.
  5. v.Buildings. Filter to one building, a sub-portfolio, or a region. Same logic as users — leave it empty for everything.
  6. vi.Conditions. Field-level rules: Base Rent > 20, Premise Area > 10,000, Lease Term ≥ 10 years. Stack as many as you want; every condition must match for a row to appear, so conditions narrow rather than widen.

Hit Generate Report at any tab and the results open in a new view.

02On the results screen

  • Report parameters panel on the left summarizes the filters you applied. Use it to sanity-check the slice before you trust the numbers, and to tweak a single filter without rebuilding the whole report.
  • Sort any column by clicking its header. The sort applies to what you see and to the file you export.
  • Download CSV or Download Excel exports the current result set in the format your downstream tool prefers.
  • Save Report names the configuration and pins it for later. Saved reports are live queries, not frozen snapshots — open one tomorrow and it recomputes against the latest data.
NoteConditions are AND, not OR. Every condition you add must match for a row to come back. If you expected results and got none, loosen one condition before widening the date range; that's usually the cause.

The columns Reports pulls from are the same fields you set on deal terms when drafting, against the buildings in your portfolio. Administrative activity (user changes, partner assignments) lives in the audit trail instead — Reports is for the documents themselves.
